Location Rental Services in Ibiza

Scouting, permit navigation and production-day management across five Ibiza ayuntamientos. A location team that has walked each villa, checked each generator lay-down, and filed each permit before — so your shoot day runs on the schedule you wrote, not the one the island hands you.

Intro · The offer

A service layer, not a villa listing

Lovely Locations is a production-first agency working Ibiza year-round. We are not a booking platform: we are the people who drive the scout, call the finca owner at nine on a Sunday, file paperwork at the Consell Insular d’Eivissa, and stand on set to make sure the truck actually fits through the Sant Josep gate.

Everything on this page is about how we work — scouting, permits, production day. The locations themselves live on individual member pages, and we recommend whichever finca, hotel or cliffside villa actually fits the brief. No captive inventory, no rate mark-up on the property itself.

Why a local service layer

Six reasons Ibiza rewards local knowledge

Five ayuntamientos, five paper trails

Eivissa, Santa Eulària des Riu, Sant Antoni de Portmany, Sant Josep de sa Talaia and Sant Joan de Labritja each run their own permit office. We know which municipality your location sits in and who to call there.

Sound cut-offs that change by postcode

Outdoor amplified sound typically ends around 23:00, indoor around 00:00, with real variation by ayuntamiento and event class. Confirming cut-offs early avoids the 22:45 conversation nobody wants with Guardia Civil.

Dalt Vila is UNESCO, not a backdrop

Ibiza’s 1999-inscribed UNESCO old town requires specific approvals; tripods, power and crew routing through the walls are regulated. We’ve filmed inside it and know what the heritage office approves in practice.

Posidonia, coasts and beach shots

South-coast seagrass meadows are legally protected; anchoring and boat shoots need routing that respects Posidonia. Beach access itself runs through the Ibiza Coastal Demarcation office (+34 971 393 307).

IBZ airport crew logistics

Ibiza airport sits 15 minutes from Eivissa town and 25 from Sant Josep villas; peak-summer turnarounds can still bite. We sequence crew call-times, car numbers and ferry links to Formentera around actual arrival patterns.

Peak-season pricing is a different market

June through September, villa rates and crew day-rates shift meaningfully versus shoulder. We time productions, negotiate with owners who already know us, and flag when May or October delivers the same frame for less.

How a location service actually works in Ibiza

Service scope in Ibiza

A full Ibiza location-rental service covers three layers that most clients do not want to hold themselves. The first is scouting: interpreting a treatment into a realistic shortlist of villas, fincas, hotels, beaches or streets. The second is negotiation: confirming availability with owners, agreeing shoot-day fees, and signing the location release that protects both sides. The third is production day: permits, schedules, catering access, power, crew parking, on-set liaison with the owner, and clean-up. We carry all three under a single coordinator so there is one number to call when something moves.

Fees & commission norms

The Ibiza and Balearic production market typically sees agency fees of around 10–20% of the location spend, billed either as commission to the owner or as a scoping-and-coordination fee to the client — practice varies by agency. We keep the two things separate: the location rate you pay the villa is the location rate, full stop, with no hidden markup; our fee is disclosed up front as a flat production or shortlist fee depending on tier. That way a producer can compare apples to apples when building the line items for a campaign budget.

Permit & sound cut-off navigation

Filming in Ibiza almost always touches at least one ayuntamiento and sometimes four institutions: the relevant municipal council, the Consell Insular d’Eivissa, the Balearic Government and — for beaches — the Coastal Demarcation office. Notice periods run from 7 working days (Eivissa) to 10 business days (Sant Josep, Sant Antoni, coastal) and 20 business days for drones. Outdoor amplified sound typically stops around 23:00 with indoor around 00:00, subject to local rules and event class; we pre-agree cut-offs with the venue and local police liaison rather than discover them on the night.

Seasonality & peak dynamics

June, July, August and early September are Ibiza’s peak: villas price at their highest, crew day-rates rise, and Ibiza airport runs at capacity on weekends. May, late September and October deliver effectively the same light and sea state at markedly softer rates — often the right window for fashion editorial, brand campaigns and retreats that do not need peak-season energy in-frame. Winter is genuinely open: fincas with fireplaces, empty streets in Dalt Vila, and owners willing to negotiate multi-day deals that are impossible in August.

What our Ibiza service layer typically handles
Treatment-to-shortlist scouting in 24 hours
Villa, finca, hotel and beach location sourcing
Ayuntamiento permit filings (7–10 business days)
Coastal Demarcation beach & Posidonia routing
Drone permit lead-times (20 business days)
Sound cut-off negotiation and police liaison
Catering-truck access and generator lay-downs
IBZ airport transfers and Formentera ferry crew logistics

Send us the treatment, shoot window and any mood-board images. We come back within 24 hours with a realistic shortlist, a permit plan mapped to the right ayuntamientos, and an honest view on which week of the year will actually deliver the frame you described. The first shortlist is free; the production fee is disclosed before any location is booked.

Common questions

Frequently asked

What does an Ibiza location-rental service actually cover?

Three layers: scouting (treatment-to-shortlist within 24 hours), negotiation (availability, shoot-day rates, location release), and production day (permits, catering access, power, crew parking, owner liaison). A single coordinator runs all three, so there’s one number to call when the schedule moves. For larger productions we add permits, drone filings, Coastal Demarcation paperwork and on-set producing on top.

How do your fees and commission work?

The location rate is the location rate — we don’t mark up what the villa or finca charges. Our fee is disclosed up front as either a flat shortlist fee, a production-day fee, or a full end-to-end coordination fee depending on the tier you need. Ibiza agency norms typically sit in a 10–20% range of total location spend; we brief you on the exact number before any booking, so the campaign budget stays honest.

How long do Ibiza filming permits take?

It depends on the ayuntamiento: Eivissa requires 7 working days’ notice, Sant Josep de sa Talaia and Sant Antoni de Portmany 10 business days, and coastal permits 10 days. Drone filings need 20 business days with AESA/local authority coordination. We start paperwork at the same time as scouting so permits don’t become the critical path.

What insurance do Ibiza shoots need?

Public-liability insurance is mandatory for every ayuntamiento application and most venue releases — typically €600,000 to €1.5 million of cover depending on scale. For drone work you also need specific drone liability under Spanish/EU operator rules. If you bring your own production insurance we review certificates; if not, we place cover for the shoot days through our broker.

Can you run multi-day and multi-location productions?

Yes — this is most of our end-to-end work. A typical multi-day Ibiza brief moves a crew across a Santa Eulària finca, a Sant Josep cliffside villa, a Dalt Vila UNESCO street scene and an Es Cubells beach day. We sequence it around sound cut-offs, light windows, owner availability and airport transfers, and hand the producer a shoot book that already solved the scheduling maths.

How much does a location cost in peak season?

Location rates in Ibiza vary wildly by property, exclusivity and shoot type — a single-day editorial photo shoot in a modest finca can start around €1,000, while a full-day commercial lock-out at a signature south-coast villa can exceed €10,000. Peak season (June–September) runs meaningfully above shoulder rates; May, October and winter typically save 20–40% for the same visual.

How do I request locations?

Send us the treatment (or a short brief), shoot dates, rough budget and any mood-board images. We come back within 24 hours with three to five availability-checked options, a permit plan and an honest pros/cons view. First shortlist is free; the production fee only applies once you move forward with a booked scope.
