Planning a corporate retreat in Mallorca: the things worth knowing

Choosing the right venue format

The first decision is whether you want a finca buyout, a boutique hotel or a design villa. Fincas give you countryside privacy and an evening that shifts from pool to olive grove to long dinner table, but you usually need to bring in catering and sometimes AV. Hotels carry the operational load for you — reception, housekeeping, kitchen brigade, AV as standard — and are the safer choice for teams that want to focus on content rather than logistics. Villas sit between the two: exclusive-use property for 10–25 people, often with a local host but lighter on full-service amenities.

When to run a Mallorca offsite

Spring and autumn are the sweet spot for company offsites. May, June, September and early October deliver mild weather, open terraces, working beaches and meaningfully lower pricing than peak summer. July and August are viable but hot, crowded and more expensive, with early-morning work blocks the usual workaround. Winter is quietly strong for focus-first leadership retreats: fincas with working fireplaces, empty Palma streets and venues happy to negotiate midweek rates. Year-round operations are common in Palma itself.

Group size, length and agenda shape

Most offsites we coordinate here run three to five nights for groups of 15–60. Three nights is about the minimum for a retreat to feel different from a two-day meeting; five nights lets you build in a proper off-site day and still leave room for recovery before the return flight. Agendas tend to alternate work blocks with one or two headline moments — a catamaran day, a Tramuntana hike with viewpoint lunch, a Palma old-town dinner — rather than packing activities end-to-end. Logistics: transfers, catering, AV, permits

Transfers from PMI are the simplest part: 15–20 minutes to Palma, 25–40 to the southwest coast, 35–55 to Deià or Sóller, 45–60 to the north around Alcúdia. Private group transfers or minibus charters are straightforward and we book them alongside the venue. Catering is usually handled in-house at hotels and via a short preferred-supplier list at fincas. AV varies widely — always confirm projector, screen, mic set-up and back-up Wi-Fi before signing. For outdoor evening music beyond midnight, check the local ayuntamiento rules early.

Most of the retreats we coordinate run three to five nights. Three is a reasonable minimum for a retreat to feel meaningfully different from a two-day meeting. Four to five allows one proper off-site day plus some recovery time. Shorter than three and the travel overhead eats the programme; longer than five and attendance usually suffers for mid-career teams.

What group size do these venues work for?

The venues on this page span roughly 10 to 80 people for whole-property retreats, with sweet spots around 15–30 for fincas and design villas, and 30–60 for boutique and design hotels. Bigger than 80 usually means splitting across two adjacent properties or moving to a full conference hotel, which we can also source.

When is the best time of year for an offsite in Mallorca?

How far in advance should we book?

For peak weekends in May through September, six to nine months is safe, and the most in-demand fincas book a full year out. Winter and midweek dates can often be confirmed four to eight weeks ahead. If your date is loosely fixed, get in touch early anyway — we can place a soft hold on one or two venues while your internal sign-off lands.

How long is the transfer from Palma airport to each region?

Palma itself is 15–20 minutes from PMI. The southwest coast — Portals, Calvià, Illetas, Santa Ponsa — runs 25–40 minutes. The Tramuntana villages of Sóller, Valldemossa and Deià are 35–55 minutes depending on traffic and exact finca. Alcúdia in the north is 45–60. We arrange group transfers and minibus charters alongside the venue booking.

What team-building activities work well in Mallorca?

Catamaran or sailing days out of Port Portals, Tramuntana hikes with a viewpoint picnic, Mallorcan cooking classes with a local chef, winery tours in Binissalem, Palma old-town walking tours, beach yoga, padel tournaments and a closing rooftop or finca dinner. We recommend choosing one headline moment per three-day programme and letting the rest breathe.

Do the venues include catering, AV and meeting rooms?

Hotels on this page include in-house catering, AV and at least one proper meeting room as standard. Fincas and design villas usually work with a preferred-supplier list for catering and a rental kit for AV, which we coordinate. We confirm AV and Wi-Fi in writing before the contract — it is the single most common weak link for an offsite.
