Choosing the right venue format
The first decision is whether you want a finca buyout, a boutique hotel or a design villa. Fincas give you countryside privacy and an evening that shifts from pool to olive grove to long dinner table, but you usually need to bring in catering and sometimes AV. Hotels carry the operational load for you — reception, housekeeping, kitchen brigade, AV as standard — and are the safer choice for teams that want to focus on content rather than logistics. Villas sit between the two: exclusive-use property for 10–25 people, often with a local host but lighter on full-service amenities.
When to run a Mallorca offsite
Spring and autumn are the sweet spot for company offsites. May, June, September and early October deliver mild weather, open terraces, working beaches and meaningfully lower pricing than peak summer. July and August are viable but hot, crowded and typically 30–40% more expensive, with early-morning work blocks the usual workaround. Winter is quietly strong for focus-first leadership retreats: fincas with working fireplaces, empty Palma streets and venues happy to negotiate midweek rates. Year-round operations are common in Palma itself.
Group size, length and agenda shape
Most offsites we coordinate here run three to five nights for groups of 15–60. Three nights is about the minimum for a retreat to feel different from a two-day meeting; five nights lets you build in a proper off-site day and still leave room for recovery before the return flight. Agendas tend to alternate work blocks with one or two headline moments — a catamaran day, a Tramuntana hike with viewpoint lunch, a Palma old-town dinner — rather than packing activities end-to-end. Pick one big moment and let the rest breathe.
Logistics: transfers, catering, AV, permits
Transfers from PMI are the simplest part: 15–20 minutes to Palma, 25–40 to the southwest coast, 35–55 to Deià or Sóller, 45–60 to the north around Alcúdia. Private group transfers or minibus charters are straightforward and we book them alongside the venue. Catering is usually handled in-house at hotels and via a short preferred-supplier list at fincas. AV varies widely — always confirm projector, screen, mic set-up and back-up Wi-Fi before signing. For outdoor evening music beyond midnight, check the local ayuntamiento rules early.
