Choosing the right format for the group

The first decision is whether the group stays together in one residential property or sleeps in a hotel and travels to a daytime venue. For a leadership team of twelve to twenty, a single finca or villa in Santa Gertrudis or Sant Joan usually wins — everyone eats together, the conversations spill over breakfast, and the production feels coherent. Once you pass around thirty people, a hotel or villa-plus-hotel split becomes easier; you get proper room keys, separate meeting space, and you stop negotiating bathroom rotas. We normally sketch both options in the shortlist so the organiser can compare the cost and feel of each side by side before committing.

When to go, and when to avoid

For corporate groups the shoulder months — May, the first half of June, September and early October — are the obvious answer. Temperatures sit in the low- to mid-twenties, sea is swimmable, the island has reopened after winter but is not yet at full tourist pressure, and headline venues still have availability three months out. July and August deliver heat, price peaks and a party-island atmosphere that can work against a strategy offsite; most organisers we speak to deliberately avoid those weeks. Winter is genuinely underrated for small leadership groups: fincas with working fireplaces, empty roads, rates at thirty to fifty per cent of summer, and a quieter island that lets a team actually hear itself think.

Sound, permits and island rules

Ibiza is tightly regulated on outdoor amplified sound. Most residential-zone properties have an outdoor music cut-off around 23:00 and an indoor cut-off of 00:00, enforced by the local ayuntamiento. Bigger events, public-facing activations or late finishes require a permit, coordinated with the relevant town hall and, for larger productions, the Consell Insular d’Eivissa. For a standard corporate dinner with DJ until midnight this is rarely an issue; for anything that runs later or has guest numbers above roughly eighty, we build the permit path into the scope from day one rather than assume it will be sorted on the day.

Catering, AV and activity layer

Almost every finca and villa on this page works with a short preferred-supplier list for catering — typically one or two private chefs, a drinks partner and an AV company that has rigged the property before. For corporate groups the headline decisions are the dinner format (long-table vs. stations), whether you want a daytime chef cooking lunch and a separate dinner supplier, and how much AV you need (screen and lapels in the salon at a minimum, usually a small mixer and two radio mics for panels).
